We collect information that identifies you personally to perform legal notarizations. This includes:
Personal Identification: Name, email address, phone number, and physical address.
Identity Verification Data: Government-issued Photo ID (Driver’s License/Passport) images, Social Security Number (for Knowledge-Based Authentication/KBA), and biometric data (video recording of your face during the session).
Transaction Documents: The PDF documents you upload for notarization (e.g., Affidavits, Deeds, Wills).
Payment Information: Credit card details (processed securely by our third-party payment processor; we do not store your full card number).
We use your data solely for the purpose of completing your requested notary service and complying with Florida Law. Specifically:
To Verify Identity: We use third-party identity proofing services to confirm you are who you say you are, as required by Florida Statute § 117.295.
To Perform the Notarial Act: To electronically sign and seal your documents.
To Maintain Legal Records: To create a mandatory entry in our electronic Notary Journal.
To Communicate: To send you appointment confirmations, links to your video session, and your final notarized documents.
We do not sell, rent, or lease your personal data to independent third parties. However, we must share data with specific trusted partners to facilitate your transaction:
RON Technology Platforms: We utilize state-approved RON platforms (such as OneNotary, BlueNotary, or others) to conduct the secure video session and identity check. These platforms are compliant with Florida law.
Payment Processors: To securely process your payment.
Legal Compliance: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court order or subpoena).
In accordance with Florida Statutes Chapter 117, we are legally required to retain the following records for a minimum of 10 years:
Audio-Video Recording: An uninterrupted video recording of your RON session.
Electronic Journal Entry: A record of the date, time, document type, and verification method used.
These records are stored securely and encrypted. We cannot delete these records upon request before the 10-year retention period expires, as this is a mandate of Florida State Law.
We use administrative, technical, and physical security measures to help protect your personal information. Documents and video recordings are stored using bank-grade encryption (AES-256) via our technology partners. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
Depending on your jurisdiction, you may have the right to:
Request a copy of the personal data we hold about you.
Request that we correct any inaccurate information.
Request deletion of your personal data (subject to the Florida legal retention requirements mentioned in Section 4).
